Reception and Administration Volunteer

Location: Middlesbrough

Role Description

As a reception and administration volunteer you will be the welcoming face for the service. The mail purpose will be to welcome the clients making the feel relaxed and at ease. Part of the role will be supporting the reception staff to help complete their administration work.

Key responsibilities

  • Greeting visitors
  • Welcome service users
  • Answering the phone and taking messages
  • General admin
  • Updating letters via the shared drive
  • Informally chatting with service users and put them at ease on entering the service
  • Completing any relevant paperwork and pass on messages to colleagues
  • Liaising with service users, key workers, and other staff members on a regular basis
  • Liaising with partnership agencies where necessary
  • Attending relevant training

Skills, experience and abilities

  • Experience in any aspect of office or admin is desirable
  • Good listening and communicating skills
  • Commitment to supporting the needs of the client group
  • Ability to sensitively and appropriately relate to the client group
  • Ability to manage appropriate boundaries
  • Reliable, organised, consistent, and have the ability to handle a level of stress
  • Open-minded, committed and able to keep calm under pressure.
  • A caring, sympathetic, and a non – judgmental approach
  • Ability to adhere to health and safety policies and procedures
  • To the awareness or working in a confidential setting
  • Able to work as part of a team

Expected hours/times

To support between Monday to Friday working hours between 9.00am and 5.00pm, minimum 1 shift per each week. The availability to do more than one shift per week is desirable. Shifts may range from a few hours cover to a full day depending on service requirements and flexibility
